Dental Front Office Receptionist

Position Summary

As the face of NSCHC’s Dental clinic, demonstrates exceptional customer service skills. Optimizes patients’ satisfaction, dental provider time and operatory space utilization through effective scheduling and registration.


DUTIES/RESPONSIBILITIES

  • Greet all incoming patients/visitors

  • Manage patient check in process for adult and pediatric dental patients, adhering to registration protocols

  • Verify patient dental insurance prior to appointment

  • Update patient demographics and medical insurance information in eCW

  • Scan dental insurance cards and ID, as well as sliding fee scale application and income affidavit if applicable

  • Determine sliding scale fee amount for uninsured patients, obtaining charge information from dentist and/or hygienist

  • Enter all data into patient profile and UDS screen

  • Collect deposits or co-pays/deductibles prior to the patient being seen by the provider, per established policies and procedures; inform patient of their outstanding balance, collect said balance, and issue cash receipt when monies are collected Perform daily, accurate cash reconciliation

  • Manage no show patients and dental recall schedule

  • Confirm all patient appointments and manage “short notice” appointment list

  • Communicate effectively with dental laboratory regarding shipping/receiving of cases

  • Communicate effectively with referring doctors regarding patient treatment

  • Participate in dental huddle meetings to communicate and coordinate patient needs with the entire care team

  • Answer dental telephone line(s), documenting all pertinent information within patient charts.

  • Schedule dental appointments, explaining services available, payment categories and billing procedures as applicable

  • Manage all incoming faxes to dental department

  • Communicate effectively and regularly with dental billing specialist Issue referrals and prepare pre-authorizations and BLEs for dental insurance claims

  • Fax referrals and correspondence to hospitals and physicians

  • Scan all pertinent dental patient correspondence into eCW

  • Assist the patient during the check-out process; scheduling next appointment, etc.

  • Analyzes what patients scheduled the next day will need during registration process, and prepares paperwork packets accordingly for each patient – brings any related scheduling concerns to the attention of Practice Coordinator and/or Clinical Director

  • End of day tasks such as printing next day’s schedule, turning phones over to the answering service, deposit all copay/reports in safe

  • Reviews and addresses jellybeans in eCW, both addressed to self and addressed to Dental Front Office

  • May be required to participate in departmental and organizational quality improvement projects.

  • Other related duties as assigned by COO and/or Chief Dental Officer.


KNOWLEDGE/SKILLS/ABILITIES

  • Meets professional behavioral expectations

  • Experience in Microsoft Excel, Microsoft Word

  • Must be accurate and detail-oriented

  • Possess strong organizational and time management skills with the ability to prioritize competing tasks in a complex and fast paced environment

  • Demonstrated ability to work under pressure with tight deadlines Ability and willingness to treat all patients with the utmost kindness and consideration, regardless of the situation.

  • Understanding of community-based organizations preferred

  • Ability to relate to the public regardless of ethnic, religious and economic status

  • Must have excellent people and customer service skills – 2 years of customer service experience required

  • Excellent oral and written communication skills.

  • Ability to work independently and collaboratively in a fast-paced Team environment

  • Ability to relate to patients, through familiarity with dental terminology and triage procedure preferred

  • Previous experience with dental insurance and pre-authorization procedures preferred

  • Proficiency in verifying dental insurance coverage and familiarity with dental insurance fee schedules preferred

  • Prolonged sitting and/or standing and moving about throughout the workday; extensive keyboarding

  • Works evening and weekend hours as scheduled

  • Attends a minimum of one outreach event per calendar year

  • Commitment to NSCHC faith-based mission to provide care to all who request it, without judgment


QUALIFICATIONS (REQUIRED FOR EMPLOYMENT)

  • High School Diploma or equivalent

  • Formal training from vocational institution in lieu of the above

  • 1-2 years previous experience in a medical clerical role, preferably within a dental office

  • Act 33 with renewal

  • Act 34 with renewal

  • Act 73 FBI Clearance with renewal

  • Proof of COVID-19 vaccination

  • Annual influenza vaccine
